Duodata Inc. ("Duodata", "we", "us", or "our") respects your privacy and is committed to protecting it. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our websites, products, and services (together, the "Services").
By accessing or using the Services, you agree to this Privacy Policy and our Terms of Use. If you do not agree, please do not use the Services.

A. Information we collect
1. Personal information you provide
We collect personal information that you provide directly to us, for example when you:
- register for an account or subscribe to the Services
- request a demo or more information
- contact us for support
- sign up for newsletters or events
- participate in surveys or feedback sessions
The information we collect may include:
- name and contact details (such as email address, phone number, and company name)
- account credentials (such as username and password)
- role, job title, and team information
- billing and payment details, which may include billing address and limited payment card details (full payment card numbers are handled by our payment processors)
- any other information you choose to provide in forms, messages, or uploaded content
2. Information collected automatically
When you visit or use the Services, we automatically collect certain information, such as:
- device information, including IP address, browser type and version, operating system, and device identifiers
- usage information, including pages or screens viewed, features used, time and date of visits, referring URLs, and clickstream data

- detect, investigate, and help prevent fraud, abuse, unauthorized access, and other harmful activity
- enforce our agreements, terms, and policies

We may use your information for any other purpose that we describe at the time of collection or with your consent.
We may also aggregate or de identify personal information so that it cannot reasonably be linked to an individual. We may use and share such aggregated or de identified information for any lawful purpose.
For individuals in the European Economic Area (EEA), United Kingdom, or Switzerland, our legal bases for processing personal information include:
- performance of a contract with you or your organization
- our legitimate interests in operating, improving, and securing the Services
- your consent where we rely on consent
- compliance with legal obligations
C. How we share your information
We do not sell your personal information.
We may share personal information in the following situations:
1. Service providers
We share personal information with trusted third party service providers that help us operate, analyze, improve, and secure the Services. Examples include hosting providers, payment processors, email and communications tools, analytics providers, and customer support platforms.
These service providers are permitted to access personal information only as needed to perform services on our behalf and are contractually required to protect your information and use it only according to our instructions.
2. Business transfers
If Duodata is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or a portion of our assets, personal information may be transferred as part of that transaction, subject to any applicable legal requirements. Where required, we will notify you of any material change in ownership or control.
3. Legal compliance and protection
We may disclose personal information if we believe in good faith that such disclosure is reasonably necessary to:
- comply with any applicable law, regulation, legal process, or governmental request
- protect the rights, property, or safety of Duodata, our users, or the public
- detect, investigate, and help prevent fraud, security, or technical issues
4. With your direction or consent
We may share personal information for any other purpose disclosed to you at the time of collection, or with your consent or at your direction. For example, when you enable an integration with a third party tool, we will share data with that tool as needed to operate the integration.
5. SMS messaging (if applicable)
If you choose to receive text messages from us or participate in an SMS campaign:
- we may share your information with service providers who help us deliver text messages, such as messaging platforms and phone carriers
- we will not share your SMS opt in data or consent with third parties for their own marketing purposes
- SMS originator opt in data and consent will not be sold or shared with any third parties outside what is necessary to provide the messaging service
D. International data transfers
Duodata Inc. is incorporated in Delaware and has a registered business in Washington State, and many of our service providers are located in the United States and other countries.
If you access the Services from outside the United States, your information may be transferred to, stored in, and processed in the United States or other countries where Duodata or our service providers operate. These countries may have data protection laws that are different from those in your country of residence.
When we transfer personal information internationally, we will take steps to protect it in accordance with this Privacy Policy and applicable law, including, where required, by using appropriate safeguards such as standard contractual clauses.
E. Data security
We implement commercially reasonable technical and organizational measures designed to protect the confidentiality, integrity, and availability of personal information.
These measures include access controls, encryption of data in transit and at rest where appropriate, network and application security measures, logging and monitoring, and regular security reviews.
However, no method of transmission over the Internet or method of electronic storage is completely secure. We cannot guarantee absolute security of your information.
F. Data retention
We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements, unless a longer retention period is required or permitted by law.
When we no longer need personal information, we will take reasonable steps to delete it, anonymize it, or otherwise disable access to it.
G. Your choices and rights
1. Access, update, or delete your information
You may request access to, or correction or deletion of, personal information that we hold about you by contacting us at privacy@duodata.ai. We may need to verify your identity before responding to your request. In some cases we may be required or permitted by law to retain certain information.
2. Marketing communications
You can opt out of receiving marketing or promotional emails from us at any time by following the unsubscribe instructions in those emails or by contacting us. Even if you opt out, we may still send you non promotional messages, such as service or security announcements.
3. Cookies and tracking technologies
Most browsers are set to accept cookies by default. You can usually choose to set your browser to remove or reject cookies, or to prompt you before accepting a cookie. If you disable cookies, some features of the Services may not function properly.
4. EEA, UK, and Swiss data subject rights
If you are located in the EEA, UK, or Switzerland, you may have additional rights under applicable data protection laws, including the right to:
- request access to your personal information
- request correction of inaccurate or incomplete personal information
- request deletion of your personal information
- object to or request restriction of certain processing
- request data portability
You also have the right to lodge a complaint with your local data protection authority if you believe that our processing of your personal information violates applicable law. We encourage you to contact us first so we can address your concerns.
5. California residents
If you are a California resident, you may have additional rights regarding your personal information under the California Consumer Privacy Act and related laws. These may include the right to know, delete, and correct certain personal information, the right to non discrimination, and rights related to sensitive personal information.

H. Children's privacy
The Services are not intended for or directed to children under the age of 13 (or under 16 where a higher age is required by local law), and we do not knowingly collect personal information from children. If we learn that we have collected personal information from a child without appropriate consent, we will take steps to delete that information.

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, or legal requirements.

Your continued use of the Services after the updated Privacy Policy becomes effective means you accept the changes.
